This is an ideal position for someone wanting to get their foot in the door in a respected arts organization while working on a series of dynamic events. The Special Events Assistant will help facilitate the logistics around a busy schedule of summer events and must be detail-oriented, have flexibility with their schedule, and possess a positive attitude with which to greet visitors to the Ranch.


Position Summary

The Special Events Assistant is a key member of the Ranch’s administrative team who helps facilitate the multitude of tasks associated with our main fundraising events, the Recognition Dinner, the Annual Art Auction and weekly Auctionettes. The Ranch’s events are dynamic, high-profile events and funds raised at these events comprise more than a quarter of the Ranch’s annual revenue.

Core Responsibilities:

Execution of Summer Series Lectures and Events: Assist the Events Manager with facilitating the Summer Series Lecture series and associated events including receptions, brunches, lunches and cocktail parties. RSVP tracking and record-keeping around each event.

Auctionettes: Set up, break-down and participate in all Auctionettes throughout the summer (every Friday).

Campus Events Support: Executing setup, staffing and breakdown of campus events.

Day-of event execution: Assist the Special Events Team with execution of the Recognition Dinner, Annual Art Auction, Auctionettes and all associated events.

Running various errands related to events.


Expected Skills & Qualifications:

-Must love working in a fast-paced environment and should be a creative problem solver who works well under -pressure.
Must be highly organized, detail oriented and self-motivated.
-Must be able to provide excellent customer service and communicate professionally with high-profile event attendees.
-Must be high-energy with a positive attitude.
-Must enjoy working on a creative and enthusiastic team.
-Proven time-management skills, organizational skills, attention to detail, the ability to multitask, coordinate current and long-range projects, and meet deadlines
-Ability to work both in a team setting as well as independently. Self-starter. Must be a strong and proactive communicator, both in verbal and written communication
-Ability to provide excellent customer service under pressure and conflict resolution skills
-Strong computer skills, and experience with standard software
-Flexibility to work evenings and weekends as needed to be present at programs
-Must have a valid driver’s license

Staff Community Responsibilities:

Community Outreach Leader: All staff members are expected to build and lead partnerships with community organizations as they relate to their area of responsibility, and to actively support the outreach efforts of other team members.

Engaged & Supportive Team Member: All staff are expected to support colleagues and engage in the programs and events of the Ranch by attending lectures, artist talks, fundraising events, and community wide events and being available to jump in and help make them a success.

Support Major Fundraising & Community Events: All staff are expected to support the major annual events that engage the public and fundraisers. These are “all hands on deck” efforts and all staff are expected to participate in ways outside their normal professional functions to make them a success from set-up, to execution, to tear down.

Brand Ambassador: All team members are expected to comport themselves in a manner that is fitting with the organization; represent the Ranch both on and off-campus, as well as online and on social media, keeping in mind that positivity and professionalism are respected and appreciated.


Physical Requirements:

Must be able to lift up to 50 pounds

Other Duties:

This role requires a flexible schedule including evening and weekend hours as needed, and particularly intense time demands in the summer months.


Compensation & Benefits:

Seasonal, June - September
Reports to: Events Manager
Location: Snowmass Village, CO
Base Salary: $20 per hour
