Position Title: Church Secretary
Supervisor: Pastor or Church Moderator if Pastor’s position is not filled.
FLSA Status: Non-Exempt Hours: 20-25/week Pay: $15/hour
Position Summary: Position provides administrative and logistical assistance to pastor, church ministerial staff, and church officers in all areas of church operations and ministry. This includes general office work and basic bookkeeping. Position will also be involved in securing and preparing materials for worship services, Bible studies, ministry events, church business meetings and maintaining church records and documents.
Specific Responsibilities:
Maintain the church office during stated office hours answering phone calls, receiving guests and handling routine office duties.
Maintain ability to operate all office equipment, as well a general knowledge of the facility equipment and security functions. Coordinate with appropriate church Staff, volunteers, or vendors needed facility maintenance and repair functions.
Assist church Staff as needed in the conduct of their responsibilities and preparation of materials and logistics for ministry events.
Receive and open invoices, prepare invoices and check requests for payment, secure appropriate authorization for payment, write or print checks, and meet with the Treasurer in necessary to review prepared payments.
Review church staff monthly receipts. Reconcile receipts with credit card bills and label expenses to appropriate budget line items.
Enter contribution information as provided by the Counting Team into the accounting system.
Maintain a database containing names and contact information on church members, visitors, prospects, and others.
Maintain a master list of church members.
Maintain records and files as dictated by the church Clerk.
Process letters on behalf of the church, requesting transfer of membership and issuing transfer of membership letters when approved by the church.
Record statistical data on a weekly basis that will be used to report annual statistical data on annual church profile submitted to Tennessee Baptist Mission Board each year.
Maintain permanent, secure, and confidential personnel files as required by the Personnel Policy Manual.
Spiritual Commitment Requirement
Professing Christian who is an active member of a local church.
Physical Requirements for Individual in Position:
Able to sit at a desk for an extended period of each day, answer telephone handset, utilize computer keyboard and mouse.
Able to and comfortable verbally communicating with individuals, small groups, and large gatherings of a variety of people.
Able to lift and carry short distances cartons, boxes, and other materials up to 35 pounds in weight.
Preferred Education, Skill, and Experience Qualifications:
Education: High school diploma required.
Experience: Some prior administrative experience preferred.
Software: Average knowledge and experience with Microsoft Word, Excel, and PowerPoint and experience with database platforms.
Administrative: Strong organizational and administrative capabilities.
Accounting: Basic bookkeeping skills, understanding of financial statements, online accounting experience preferred
