Our brand-new interactive learning center is the perfect combination of technology, education and fun, all combined in a safe space where kids can learn 2D and 3D video game development and programing, Web Design, Electronics, 3D modeling, and much more. We offer a variety of different programs focused on Science, Technology, Engineering, Arts & Mathematics (S.T.E.A.M.) under the guidance of our specialized instructors and staff.

We are looking for an Office Manager
This is a strategic and key role that requires a balance of strategy, sales and a roll-up your sleeves and get it done attitude. The right candidate Is required to "Think-like-an-owner" and will play a vital role in helping the Center accelerate its growth. The right candidate must be a highly motivated team player with expertise working with kids and parents. The willingness to network and ability to establish relationships is vital for this role. A strong business acumen and outstanding communication skills are a must for this position.

We need an office manager who will oversee the office activities such as:

Manage Account Receivables: set up billing accounts, charge weekly/bi-weekly billings, and follow up with collections
Schedule Staff
Maintain inventory list for cleaning, office, and educational supplies
Call future families to follow up on enrollment
Ensure all phones are answered by the 3rd ring
Manage accounts and supplies for new family packages
Manage organization and presentation of the Center
Call future families to follow up on enrollment
Assist in planning and coordinating events including staff appreciation
Manage organization and presentation of the Center
Maintain subsidy accounting, paperwork, and compliance
Maintain files and current paperwork
Open mail, packages and distribute accordingly
Manage transportation and vehicles, including smog checks, car repairs, and current registrations.
Manage student rosters, seating charts, and other items needed in order for the programs to run smoothly
Answer emails and phone calls related to the Center
Engage with external vendors
Attend community events to help promote the Center
Deal with correspondence, complaints and queries
Prepare letters, presentations and reports
Supervise and monitor the work of staff
Manage office budgets
Liaising with staff, suppliers and clients
Implement and maintain procedures/office administrative systems
Delegate tasks to junior employees
Hire and onboard staff
Ensure that health and safety policies are up to date
Use a range of software packages, to assist in the classroom when necessary.
Good interpersonal and time management skills are necessary

Required Qualifications:

Solid analytical / problem-solving skills.
Excellent customer service skills.
Strong skills to communicate effectively with all levels of staff, faculty, students and external constituencies, both verbally and in writing.
Ability to multi-task with demanding timeframes.
Ability to use high-level discretion and maintain a high level of confidentiality of student, parent, and company information.
Keen in identifying problems.

Preferred Qualifications

Proficient in Microsoft Office Suite
Familiarity with the school processes, protocols and procedures.
Knowledge of federal and state human resources regulations
High School Diploma or equivalent
Business Degree (Preferred but not required)

Qualifications

High school or equivalent (Preferred)
Administrative experience: 2 years (Preferred)
Microsoft Office: 1 year (Preferred)

Work Hours

August to May
Monday thru Friday: 11:00 AM to 6:30 PM
Saturdays: 8:30 AM to 1:30 PM

June to July
Monday thru Friday: 8:00 AM to 5:00 PM

Job Type: Full-time
Salary: $20.00 - $25.00 per hour
