• Provide daily administrative work and customer service related to group and tour bookings
• Create and adjust group visit reservations for schools, organizations, tour operators and VIP clients, utilizing the Tessitura ticketing software and JIRA project management software in a timely manner
• Follow through a large volume of email correspondences regarding group reservations, group policy and museum information
• File reports, manage financial data, data cleaning and accurately input member and visitor information
• Customize the Museum’s calendar through Artifax for tour planning, to organize reservations in a timeline and coordinate with interdepartmental workflows
• Handle Museum’s both operator and group phone lines and answer inquiries about Museum’s policies and programming across three locations, including special exhibitions, events and classes, create and update orders and process payments
• Help all level of clients to choose well-suited tour to meet their interests through our guided tour, introduce our tour topics and recommend itineraries for self-guided tour
• Provide excellent customer service during VIP tours and events and represent the Museum with the utmost professionalism to maintain discretion with high level clients
• Help people checking in and create smooth workflow for lecturers by facilitating EmptyMet
