Administrative, Finance Department Assistant

Role:
Provide administrative support to the Office Manager and Finance Department Supervisor and other departments, as assigned by your supervisor.


Key Responsibilities:


1. Assist with all aspects of in-house photocopy jobs for orientation, training, and other materials; assemble community coordinator manuals, high school packets, host family orientation packets, PAX arrival orientation folders, field orientation folders and other printed materials, as requested.

2. Provide support to broader organization with regard to data entry, document scanning, as directed by your supervisor.

3. Provide back-up, when needed, to reception desk with primary tasks being; operating a multi-line phone system and coordinate all courier services, including PRS, FedEx and UPS; complete mailing labels, schedule pickups.

4. Ensure timely communication of student, arrival flight information to host family and community coordinator.

5. Assist with set up for in house meetings, office celebrations and staff lunches.

6. Order office supplies, flowers, gift baskets as requested.



Qualifications:

1. Minimum of 3 years� experience in a professional work environment; preferably in the nonprofit sector with administrative support responsibilities.

2. Undergraduate degree preferred.

3. Computer literacy including proficiency in use of MS Office applications; experience using customer, member or other database systems. Good key boarding skills are helpful.

4. Excellent interpersonal, research, writing, analytical, organizational and problem solving skills.

5. Demonstrated ability to multi-task and work productively under pressure.
