Renaissance Health Care Network Diagnostic and Treatment Center is the hub of nine conveniently-located health centers in Central and West Harlem and Northern Manhattan. Together they provide the gamut of primary care services, including free pregnancy testing, prenatal care and delivery, well-child care, cancer screening, treatment of chronic illnesses such as asthma, diabetes and hypertension, dental services and immunizations.
Provides administrative, operational and clinical support for the office of the Chief Medical Officer (CMO), including daily operations: typing, filing, minutes, scheduling, time and leave HR issues, Labor issues, QC, provider credentialing, medical education liaison, health promotions, internal and external reports, project management, special projects, as well as additional clinical and operational administrative activities.
SUMMARY OF DUTIES AND RESPONSIBILITIES
Provides administrative assistance for the Medical Director
Performs administration Tasks and responsibilities of Executive Secretary to the facility Chief Medical Officer including:
Receives calls, visitors and arranges appointments/meetings for Medical Director, including Chiefs of Services at the discretion of the Medical Director
Coordinates office logistics and transportation
Performs other secretarial/office management tasks as necessary
Serves as liaison between the Medical Director's office and other departments including, Administration, Nursing administration, clinical staff, Medical and Pharmacy schools, HR, Medical Staff Office, external administrative offices, etc
Supports monthly meetings for the Medical Director (Performance Improvement, P&T, Credentialing, etc…), as well as other meetings at the discretion of the Medical Director
Departmental, and other meetings as assigned
Monitors schedule for lower level conference room
Prepares, submits and monitors supply requisitions to completion
Prepares monthly provider on call schedules
Monitors and prepares time sheets for providers (Paycom and NYC H+H time keeping)
Prepares, submits and maintains time and leave records for NYC H+H and Paycom Medical clinical staff
Maintain the departmental database and files, manage departmental records; including staff vacation/sick leave reports, time reports, and other personnel reports
Assist in maintaining office equipment and purchases
Collaborates with Medical Staff Office to coordinate provider credentialing (I-Cred)
Coordinates Performance Improvement Committee activities including meetings, minutes and reports
Participates in Performance Improvement Activities
Participates and coordinates health promotion activities as assigned
Coordinates the residency medical students and pharmacy students rotations and maintains the monthly schedule, including attendance and absences
Communicates effectively and in a professional manner with patients, visitors and colleagues
Promotes a positive and pleasant attitude conducive to the workplace, which further enhances the Mission, Vision and Value Statement of the organization
Meets all compliance standards/requirements such as annual physical evaluation/assessment, Five Star Training, Right-To-Know Training, Fire Drill Participation, etc.
Responsible for enhancing self-personal and professional development
Attendance at external and internal Training sessions is expected
Responsible for wearing professional attire to the workplace as well as during off site work, when conducting Business on behalf of the organization
Must exhibit flexibility within the H+H / Gotham facility, as it pertains to work assignment, work place, site designation and Tour of Duty
Adheres to the Vision/Mission/ and Value statement of the Organization in all endeavors and interactions.

1. a. High School Diploma or equivalent
b. A Baccalaureate Degree from an accredited college or university and one year of experience as a stenographic secretary; or,
c. An Associate Degree with specialization in Secretarial Science and three years of clerical experience, one year of which shall have been as a stenographic secretary.
2. The ability to take dictation accurately, rapidly and to transcribe. Ability to exercise discretion and diplomacy in all internal and external contact relationships and to exercise initiative in the preparation of routine correspondence, in handling administrative details and to maintain confidentiality of all executive and Corporate matters.
3. High level verbal, written and secretarial skills and knowledge required; or,
4. A satisfactory combination of education, training and experience.
