Marketing Administrator

We are looking for a reliable and enthusiastic Office and Marketing Administrator. They will undertake various administrative and marketing tasks to ensure the rest of the team has adequate support to work efficiently. This is an entry level position ideal for a recent college graduate or someone interested in changing career paths.

Main Job Tasks and Responsibilities:

Office Administration:

Warmly greet visitors to our facility
Answer and direct phone calls promptly, fielding solicitors/cold sales calls
Maintain office efficiency, arranging necessary repairs
Submit timely reports and prepare presentations/proposals as assigned
Assists in planning and arranging events
Schedule monthly client site visits and quarterly client phone calls
Manage Holiday and birthday events for employees
Track stocks of office supplies and place orders when necessary
Handle and resolve customer concerns and inquiries
Schedule appointments for the owner
Communicate and coordinate with vendors
Responsible for responding to customers either by telephone or email
Obtain and evaluate all relevant information to handle service inquiries
Maintain office databases (Employees, Vehicles, Clients, licenses, insurance, etc)
Maintain employee personnel files
Monitor and record hours worked including overtime on Excel sheet for all employees
Maintain and update physical filing system
Record details of inquiries, comments, complaints and actions taken
Prepare and distribute customer activity reports for Jaime
Provide feedback on the efficiency of the customer service process
Assigned various administrative tasks by the Office Manager as needed

Sales Administration:

Process and follow-up on current and new requests for bids
Write project proposals
Make sales calls to potential customers

Marketing Administration:

Create and manage web assets
Write copy for emails, website, and marketing materials to increase engagement
Coordinate with photographer and upload approved images to the website
Manage social media profiles
Participate and collaborate in the development of new marketing strategies
Manage Company Monthly Newsletter in MailChimp
Coordinate with the team to transition toward a new website
Create and Distribute Monthly Internal Newsletter to Employee’s (English and Spanish)
Manage holiday mailing and gifts for clients

Skills and Qualifications:

Associate or Bachelor’s degree in writing, marketing, graphic design, business or similar a plus
Ability to write project proposals
Graphic design knowledge and experience preferred
Experience or knowledge managing a website preferred
Proficient in Adobe Suite
Proficient in Microsoft Suite
Prior office experience a plus
Writing/ copy experience strongly preferred
Experience with project management software preferred
Spanish bilingual strongly preferred

About Us

Sierra Northwest Landscaping Company was founded in 2002 by Jaime Sierra. Projects focused initially on landscaping and sprinkler system installation and management. We expanded our client base and service offerings in 2004 to include stonework and waterscapes. Our clients include apartments and condo complexes, commercial properties, and homeowner's associations. We maintain our Certified Landscape Technician (CLT) status and pesticide certifications. We are bonded, insured, and licensed to perform work in both Oregon and Washington. Our experienced and motivated teams service over 100 properties throughout the Portland and Southwest Washington areas.

We are looking for a candidate that is interested in growing with the company and staying with us long-term. This position will be perfect for someone who is hoping to grow their skills within a small business. We are hoping to fill this position by the end of October, and will be interviewing local candidates only.
