Job Position: Office Coordinator Job Type: Full Time Salary: $38,000+ DOE
Essential Duties and Responsibilities:
This position reports to the Operations Manager and will manage customer service needs and assist with coordinating order fulfillment from beginning to end. Will be responsible for managing the administrative functions of the customer account which will also include working with other departments to ensure goals are met and information for financial reporting is accurate.
Main Responsibilities:
• Diligently service incoming customer requests via email and telephone, process orders, and communicate delivery expectations to the Production and Operations teams.
• Schedule appointments while maintaining real-time communication internally and externally.
• Manage incoming office traffic (drivers, deliveries, applicants, etc.)
• Maintain open and consistent communication with Operations team to ensure efficiency and accomplishment of daily load capacity requirements.
• Work directly with drivers and Operations team to direct incoming/outgoing loads to assigned shipping and receiving areas.
• Validate total count quantities for all loads and ensure BOL and other paperwork is complete. Investigate and solve discrepancies.
• Assist with managing supply inventory levels and assist with ordering as needed.
• Take ownership of completion of all required documentation and daily reporting to close daily transactions and submit to assigned departments
• Work with Finance Department to ensure accuracy of all documents required for billing and inventory reconciliation. Help troubleshoot discrepancies.
• Handle all administrative duties as needed including new hire processing, payroll reconciliation, daily closing/opening reports, filing and maintaining office cleanliness.
• Perform other miscellaneous duties and customer account management requests as needed.
Qualification/Skills:
• Must be available Monday-Friday 8:00am-5:00pm.
• Must be a self-starter, and able to work with little to no supervision.
• Accurate and strong attention to detail and data entry.
• Excellent customer service skills and ability to multi-task and work under pressure.
• Demonstrate good organizational, time management and prioritization skills.
• Excellent communication, written and verbal skills.
• Excellent Microsoft office skills, especially Microsoft Excel.
• Must uphold a high level of loyalty, integrity and ethics.
• Ability to meet deadlines and maintain confidentiality.
• Bilingual English/Spanish preferred
