We are seeking a full-time enthusiastic administrative assistant to be our “director of first impressions” and support our business through direct client interaction on the phone and in person at our clinic in San Jose California.

We’re looking for someone who is detail-oriented, organized, and loves interacting with people.

A successful candidate will be self-motivated, detail-oriented, organized, quick-thinking, flexible, and have a passion for creating memorable experiences while helping clients throughout their rehab journey.  This position is ideal for someone who loves making a difference in other’s lives while developing personal connections in a role with true purpose and a company mission you believe in.

Key Responsibilities:

Effectively and creatively manage the client schedule to reduce drop-offs and keep vacancy rate low
Deliver world class customer service on the phone and in-person.
Answer incoming client calls and successfully lead them through our discovery, education, and booking process
Accurately describe payment options, accept and record payments, and draft receipts and bills
Scan and organize client files for physical therapy staff
Perform 24-hour call backs to ensure client satisfaction, schedule plans of care, and gather client feedback
Perform pre-appointment calls to reduce no-shows
Call insurance companies to determine coverage for potential and current clients
Consistently schedule the entirety of clients’ plans of care at the evaluation
Keep a clean and well-organized office to maximize efficiency
Skills and Qualifications:

1 year of experience preferred – willing to accept entry level roles for motivated candidates
Extreme attention to detail and being highly organized. In this role, updating all fields in our database is critical for flow and process. 
Excellent project and time management skills.
Ability to independently work and meet deadlines.
Excellent verbal communication skills on the phone and in person.
Ability to confidently follow scripts and workflows.
Excellent written communication skills.
Passion for being a positive influence in other’s lives daily.
A deep passion for creating a truly “memorable” client experience.
Must be based in the Bay Area, CA to work in our office in San Jose; must be a US citizen.
Your Compensation:

$17-20 per hour with opportunity to grow as a result of your impact on the business
$200 medical premium stipend per month. (Full-time)
2-weeks paid vacation, plus the week off between Christmas and New Year’s. (Full-time)
3% matching SIMPLE IRA plan.
