Some of our cases are court involved and may require interacting with attorneys. Our practice honors all identities, orientations, backgrounds, and relationship arrangements. Location: This is a Hybrid position. Most work will be done virtually with occasional meetings in person. Over the next year as our office grows, this position will require more in-person hours (9200 W. Cross Dr. Suite 509, Littleton, CO 80123).

Hours: Shifts will be variable (5-10 hours per week) to start, with the ability to increase up to 20 hours per week. You will need to check voicemail, emails, and texts morning, noon, and evening during the week. Most other hours will be flexible and can be completed during the week or weekend.

This role will report directly to the owner, Athena McCullough. You will he her right hand person in the business.

You will rock this role if you possess excellent communication skills and the ability to lead and promote the vision of the clinic. You must be able to stay extremely organized, thinking 10 steps ahead, and the ability to see the big picture with an entrepreneurial mindset. You have a passion for helping others as you will be communicating with our clients. If you are interesting in one day going into private practice or owning your own group practice, this is an excellent opportunity to see how to build a group practice from the ground up.

Qualifications:

1-2 years of experience in Client Care and Customer Service (preferably in a medical/mental health office at the front desk)
Psychology and counseling undergraduate students and graduates are welcome!

Responsibilities:

Supporting Psychotherapists (LPC, LMFT, Social Workers) with client bookings, payments, administrating intake consent forms, etc.
Client support: welcoming clients to the practice, answering client calls and emails, processing payments.
Maintaining Quality Assurance (follow up to payments, securing payment information, uploading secure documents, managing the booking software including schedules and treatments offered).
Maintenance of virtual clinical files in a Electronic Health Record platform
Social Media: Organizing and planning upcoming posts, creating posts in Canva, managing posting schedule, and monitoring comments and responding
Managing the owner's schedule and screening calls and emails.

Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure, meet deadlines and keep promises
Tech savvy (we are mostly paper-less and everything is online)
An appetite for innovation and simplicity while being highly process oriented
Working autonomously comes easy to you but you also love collaborating with a talented team
Considerable experience using the Microsoft Office Suite, Google Drive Suite, Gmail, Dropbox, Mac, Windows in a work environment
Knowledge of Simple Practice, Jane, and/or Acuity scheduling software is an asset.
Understanding of HIPAA requirements and an ability to maintain strict confidentiality of client information is required.
