The Administrative Assistant works directly with the CEO and Directors of this Christ-centered, community based nonprofit organization to perform a wide range of administrative and professional support activities. This person also performs accounting duties to ensure the efficient operation of the organization.
o Maintain administrative procedures for the CEO
o Work with Directors and Managers to provide administrative support, as approved by the CEO
o Serve as the first point of contact for guests to the Administrative Suite; welcome visitors and assist with meetings
o Oversee the telephone system - answer calls, route messages, manage phone system, etc.
o Coordinate purchasing and receiving of supplies and materials; work with other departments to assure timely and accurate inventory of supplies, as needed
o Provide administrative support to the CEO to facilitate board meetings, committee meetings and other organizational functions
o Perform routine mail procedures
o Assist Donor Relations Manager with the donor stewardship process
o Input vouchers into organization database weekly; update participant profiles to maintain an accurate record of assistance provided
o Review all online contributions and record each one into Donor Perfect and QuickBooks
o Prepare deposits of cash/checks received; take deposits to the bank weekly
o Assist with processing Accounts Payable and Accounts Receivable
o Provide other support to Finance Manager, as requested
