SUMMARY

Searching for an extremely proactive and detail-oriented Administrative Assistant who is highly organized and an excellent communicator. The Administrative Assistant will report directly to the CEO. The CEO is responsible for all Executive Administration for the company (Strategy, Finance, Accounting, Human Resources, Legal, Etc.). The Administrative Assistant will be responsible for providing comprehensive clerical and administrative assistance to the CEO so he may focus on his primary responsibilities and maximize his time and effectiveness. The position will include a wide variety of business and personal administrative support duties. Competitive Analytics is a small but fast growing company that offers highly competitive compensation.

RESPONSIBILITIES

The responsibilities listed below may cover both business and personal:

CEO’s Right Hand: Assist with all administrative aspects of business and personal life.
Scheduling: Assist in the management and organization of the CEO’s calendar by scheduling appointments and communicating with all relevant parties.
Mail. Sort, distribute, and respond to mail.
Document management: Electronic (Dropbox) and paper filing and retrieving/sending documents as needed.
Requests for information: Responding to requests for information from banks, auditors, service providers, tax authorities, etc.
Communication: Assist the CEO in the timely management of communications, including written, telephone, email, and voicemail.
Travel Coordination: Manage and coordinate travel.
Marketing Coordination: Coordinate LinkedIn, email campaigns, prospective client calls, lead gen, etc.
Manage Contacts: Assist in CRM input (customer relation management).
Client Relations: Greet and check-in clients and other guests for meetings and events.
Errands: Perform variety of office and personal errands.
Manage Contractors/Service Providers: Coordinate and manage contractors/service providers at office and/or residence.
Research: Conduct ad-hoc research.
Bookkeeping Support: Assist Bookkeeper with payroll, expense reports and other administrative task. .
Office Supplies and Equipment: Ensure office supplies are fully stocked and equipment (e.g. fax, copy, scanning machines) is working.

JOB REQUIREMENTS

Some college. Ideal candidate will be a current college student working towards a Bachelor’s degree. We are willing to work with your school schedule.
Demonstrate strong knowledge and extensive use of Microsoft Office and/or Mac OS.
