Job description

Next to the Orthodontist, the Orthodontics Scheduling Coordinator is the most impactful staff member for a patient’s treatment acceptance. This position requires deliberate patient connection starting with your personal presentation, advance planning, anticipation of frequently asked questions, and the ability to be ahead of the curve in patient education. Your goal will be to create trust between you and each family through relationship-building. The Schedule coordinator will start the consultation appointment by reviewing all the treatment options, risks and benefits of getting the treatment started, and answer any questions the parent/patient may have. Secondly, the position requires the coordinator to be an expert in presenting treatment plan options and financial estimates after getting insurance verification and breakdowns. The treatment coordinator must be able to communicate with patients/parents in a friendly and professional manner.

Responsibilities and Duties:

Greet all patients and check them in
Answer and respond to telephone calls with professionalism and according to office policy
Make appointments
Call and confirm appointments
Review schedule to minimize scheduling mistakes and take steps to optimize efficiency
Fill any schedule holes
Review and restock supplies for reception
Review the office for a neat, professional appearance and make necessary changes
Receive and Send Head Start dental exam forms
Keep patients posted on delays
Cleaning duties
Change answering machine and post office signs as necessary
Perform additional tasks as necessary or assigned to achieve office/company goals

Qualifications

1 year of experience in the hospitality field is preferred
Knowledge of Dental terminology and insurance requirements is a plus
Ability to handle all patient information in compliance with HIPAA privacy and security regulations
Working knowledge of google docs, spreadsheets, and slack
Strong written and verbal communication skills and interpersonal amongst parents, children and co-workers
Team player and self-motivated
Physical Demands

Must be able to lift up to 45 pounds without assistance
Occasional standing and bending are required
Regular computer Use
