Position Title: Fulfillment & Logistics Coordinator

Reports to: Operations & Systems Manager

Location: Arvada office near Denver, Colorado

Position Summary: The Fulfillment & Logistics Coordinator is a hybrid in-person/remote position, responsible for managing sales fulfillment in coordination with our warehouses, sales team, logistics providers, and in our ERP system This role is also responsible for managing Uncommon Cacao samples, including the samples store and processing/evaluating samples. The Fulfillment & Logistics Coordinator also supports import/export logistics. This position is accountable for and supports our operational logistics from suppliers to warehouses and customers. This role reports to the Operations & Systems Manager.

Physical labor, including moving heavy cocoa sacks and carrying multiple boxes to the shippers is required (ability to lift 50-70lbs is required). This person also must have their own vehicle and a valid driver’s license.

Accountabilities

Samples Store

Order samples inventory from the warehouse and physically receive the shipments.

Record and track samples inventory movements and stock levels

Package and ship all customer samples originating from e-commerce or UC sales team. This includes weighing and packing out cacao, generating labels, ensuring accuracy, and dropping off orders at the shipping locations 2-3 times per week.

Manage e-commerce samples store, including inventory availability, order fulfillment, uploading tracking, and item setups

Sales Logistics and Fulfillment

Release orders to warehouses using ERP system, Google Sheets, and emails

Coordinate with outbound external LTL logistics partners to have orders picked up and shipped

Update UC sales team with tracking information

Keep warehouses and logistics partners accountable to on-time shipping by following up on missed pick ups

Ensure proper allocation and tracking of lots shipped

Complete monthly inventory reconciliation between warehouse and ERP stock counts

File damaged delivery claims with shippers as needed and support on customer logistics issues

Quality

Support Operations & Systems Manager by processing cocoa bean samples for internal evaluation

Participate weekly in Uncommon Cacao sensory panel to evaluate cocoa bean samples

Track cacao quality in UC sample evaluation sheets

Generate Quality Analysis sheets for sales and operations teams

Maintain cleanliness of lab, supplies, and storage facilities

Import Logistics

Send Delivery Orders to trucking companies for drayage (port to warehouse)

Communicate clearly with logistics providers, customs brokers, warehouses, and UC team to ensure that all parties are aware of timelines, requirements and incoming shipments

Ensure proper documentation for each shipment, verify details, and manage document filing per contract.

Arrange cross-country Transfer Orders as needed

Support Operations & Systems Manager with inputting Purchase Orders and Vendor Invoices, and receiving inventory to the ERP system.

Skills/Qualifications

Needs to be motivated, self-directed, able to work with minimal supervision and also cooperate as part of a team.

Excellent attention to detail and numbers

Skilled at clear communication across multiple parties

Enthusiasm for organization (filing, record keeping)

Computer literacy in Microsoft (Word, Excel) + Google Suite (Gmail, google drive, google docs, google sheets)

Ability to operate within CRM and ERP software systems (experience in Salesforce and/or Ascent a plus)

Spanish language competency preferred

Experience in inventory management, logistics, or the food industry preferred
