Carico Glowacki Macdonald Kil & Benz LLP is a premier Trust & Estate law firm serving the greater Los Angeles and Orange Counties. We have two offices, one in El Segundo and the other in Laguna Hills. We offer experienced counsel in the areas of estate planning, trust and estate litigation, trust administration, financial elder abuse litigation, probate law, conservatorship, guardianship, and trust and probate appeals.

Our El Segundo office is seeking an Executive Assistant to support two partners. Previous law firm experience is a plus but not required. We are looking for a team player with strong oral and written communication skills, and very strong technology skills. The individual must be highly organized and pay close attention to detail, be able to prioritize tasks and able to multi-task. The below list of tasks summarizes the position but is not all inclusive.

Responsibilities: - Provide administrative support for two extremely busy partners. - Employee will be responsible for organizing and managing the Outlook inboxes for two highly successful partners, prioritizing emails for immediate review, responding to emails that do not require the partners' attention, assigning emails to be handled by other lawyers and professionals in the firm with an end goal of reducing the partners' time reviewing non-essential emails, and increasing the speed with which clients, referral sources and potential new clients receive meaningful responses. - Employee will be responsible for fielding client, referral source and potential new client calls, understanding what calls (and emails) require immediate attention, determining whether someone other than the partner can provide the immediate attention and setting up follow up calls and meetings with the best person in the firm to handle the matter most efficiently. - Employee will need to have excellent technology skills, very familiar with Office 365, Zoom and LinkedIn and most if not all of their features. - Employee should have excellent word processing skills and the ability to create and edit necessary forms, letters and other documents on request. Employee's word processing skills on laptop must be excellent, allowing the employee to participate as the note taker in meetings with the ability to produce a memo summarizing the meeting content within minutes of completing the meeting. - Employee must be able to anticipate potential problems and schedule conflicts, be proactive, protect partners' time from non-essential functions and be assertive in following up with other attorneys, paralegals and staff in the office on the status of their projects. - Assist with document management, including organizing files and maintaining electronic records. - Coordinate and prepare materials for meetings, presentations, and conferences. - Provide exceptional customer service to internal and external stakeholders. - Assist with special projects and perform other duties as assigned.

Experience: - Proven experience as an executive assistant or in a similar administrative role. - Extensive calendar and email management. - Strong organizational skills with the ability to prioritize tasks and meet deadlines. - Excellent communication skills, both written and verbal. - Familiarity with file management systems and practices. - Knowledge of phone systems and ability to handle incoming calls professionally. - Attention to detail and ability to maintain confidentiality. - Excellent with technology.
