Position Overview:
The Medical Records Specialist is responsible for performing a variety of tasks to support patients, physicians, nurses, and other health care workers within the clinic.
Supervisory Responsibilities:
• None
Duties/Responsibilities:
• Answering phones and responding to information requested in a timely fashion, taking messages relating to medical records
• Screens each request for information to determine urgency and assures that most urgent requests are completed fist using established priority systems
• Receive and screen all incoming correspondence requesting medical information
• Determine what medical records are needed to process requests
• Ensure proper authorization is on all requests for medical record information
• Obtaining medical authorizations releases, maintaining and adhering to HIPAA confidentiality as well as faxing documents
• Review and interpret records and documents to correct inconsistencies or discrepancies in the records
• Compiles processes and maintains patents health information in a manner consistent with ethical, legal, and regulatory requirements of the practice and in a timely manner
• Prepares and scans medical records into EMR
• Scanning which includes Office Visit notes, labs, imaging, miscellaneous, etc.
• Prepping chart for the physician for upcoming appointments, accurately entering medications, family history, social history and surgical history
• Entering lab and imaging information so physician has all pertinent information to see a new patient
• Entering colonoscopy, mammogram, last physical, etc.
• Verifying information is correct in existing patients' medical records
• Refer situations that need additional guidance to the manager
• Mailings/faxes as needed
Required Skills/Abilities:
• Passionate about providing truly excellent always faithful healthcare
• Personality and demeanor to deal with the public and assist ill, older, or distraught patients
• Basic office skills such as typing and filing
• Excellent organizational skills
• Knowledge of a diverse assortment of software programs, applications, and systems, particularly scheduling programs and electronic medical record systems
• Strong planning and organizational skills, detail oriented and the ability to multi-task in a fast-paced environment
• Cooperative, approachable, caring and compassionate
• One year of clerical experience in a medical records department of a hospital, or ambulatory acute medical care setting or a licensed nursing facility preferred
• Maintaining patient confidentiality and abiding by all HIPAA and OSHA requirements
Education and Experience:
• High school graduate or equivalent required
• CNA helpful
• Associate degree preferred
Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer
• Must be able to lift up to 25 pounds at times
