Role Overview

We are looking for an organized, detail-oriented Office Manager to serve as the heartbeat of our growing Nashville operation. In this role, youll keep our office running smoothly, support our field team, and ensure our clients get the white-glove service they expect. What Youll Be Doing

  • Office Operations: Oversee daily office activities, including maintaining office supplies, managing vendor relationships, and ensuring a professional workspace.
  • Administrative Support: Serve as the primary point of contact for phone and email inquiries. Youll be the bridge between our clients and our field technicians.
  • Financial Administration: Handle day-to-day bookkeeping tasks, including processing invoices, tracking expenses, and assisting with accounts payable/receivable.
  • Scheduling & Coordination: Support the scheduling of service visits and ensure technicians have the necessary paperwork, permits, and COIs for their upcoming jobs.
  • Team Support: Assist with onboarding new team members, maintaining personnel files, and helping with general HR administrative tasks.

  • The "Organizer": You have an uncanny ability to turn chaos into order. You love a good checklist and are always three steps ahead of the team.
  • A Strong Communicator: You are comfortable talking to everyone, from our service techs in the field to facility managers at our client sites.
  • Tech-Savvy: You are proficient in Microsoft Office (Excel, Word) and can easily pick up new software (scheduling or CRM tools).
  • Reliable: You take pride in being the person the team relies on to keep things moving.

Requirements

  • 2+ years of experience in office management, administration, or a similar operations-focused role.
  • Experience with basic bookkeeping or financial administrative tasks.
  • Exceptional verbal and written communication skills.
  • High attention to detail, you catch the mistakes before they become problems.
  • Ability to work effectively in a small-team, fast-paced environment.
