Part-Time Office Manager (In-Person)

Location: New York (Office)

On-site | Full-time

Compensation: $36K - $50K

The platform is trusted by several of the industry’s leading protocols to manage and protect significant assets within the decentralized finance (DeFi) ecosystem.

An opportunity has emerged for a proactive and detail-oriented Part-Time Office Manager (In-Person) to support on-site operations at our client's Brooklyn office. Reporting directly to the VP of Business Operations, the successful candidate will ensure the workspace remains professional, fully operational, and welcoming. This role is ideal for a hospitality-minded professional who excels in organization and enjoys supporting a high-calibre leadership team in a fast-paced environment.

Key Responsibilities

  • Daily Office Operations: Serve as the primary on-site support for daily needs, including managing coffee service, light hospitality, and general day-to-day logistics.
  • Inventory & Procurement: Develop and execute a monthly stocking plan for office supplies and the micro-kitchen, ensuring snacks, drinks, and coffee are always available.
  • Meeting & Event Support: Prepare the office and reserve rooms for in-person meetings; manage setup, supplies, cleanliness, and A/V readiness.
  • Workspace Maintenance: Perform daily walkthroughs to ensure the office is clean, organized, and welcoming; coordinate with building services and cleaning vendors to maintain professional standards.
  • Vendor Management: Coordinate with external vendors and building management for deliveries, maintenance, and various office services.
  • Executive Support: Provide logistical support to the CEO with ad hoc requests, including meeting preparation, light event coordination, and daily administrative tasks.
  • Culture Building: Plan and execute in-office events and team gatherings, managing all logistics, vendor relations, and on-site setup.

Interview Process

  1. Recruiter / HR Call: Initial screening and experience overview.
  2. Hiring Manager Interview: Discussion with the VP of Business Operations.
  3. Take Home Test: A practical exercise focused on office management and organizational scenarios.
  4. On-Site Final Interview: An in-person meeting at the Brooklyn office with the CEO and an additional team member.

Requirements

  • Professional Experience: 2+ years of experience in office management, administrative support, hospitality, or workplace operations.
  • Schedule: Ability to work on-site in Brooklyn, NY, Monday–Friday for 4 hours per day (Standard schedule: 8:30 AM–1:00 PM, with some flexibility based on office needs).
  • Organizational Skills: Exceptionally high attention to detail and a proven track record of reliability.
  • Communication & Mindset: Excellent communication skills with a proactive, service-oriented approach.
  • Independence: Comfortable handling multiple priorities independently in a fast-paced environment.
  • Analytical Approach: Strong problem-solving abilities and a genuine passion for DeFi and blockchain technology.

Preferred Qualifications

  • Experience supporting senior executives (CEO/leadership team).
  • Proficiency with workplace and scheduling tools (e.g., Google Workspace, Slack, Notion, or similar).
  • Demonstrated ability to work effectively in a high-velocity, collaborative environment.
