Logistics & Fulfillment Coordinator

Galanter & Jones — San Francisco, CA Full-time, onsite · $60,000–$65,000 + benefits Reports to the Operations Manager; initially to the CEO

About us

Galanter & Jones makes heated outdoor furniture. We created the category in 2012 and we still build it ourselves — cast concrete, hand-finished, produced in our own San Francisco facility and by our partner factory overseas. Our pieces go into private residences, hotels, restaurants, and designed public spaces across the country, and we sell through our own showrooms, design professionals, and retail partners including Design Within Reach.

Every piece we ship is heavy, expensive, and fragile in exactly the ways freight carriers dislike. Getting it to a customer intact — and getting it looked after once it's there — is a real logistics problem, and it is this job.

The role

You own outbound. Every order that leaves our building — local delivery, threshold freight, white glove, full truckload, retail partner drop-ship — is booked, tracked, and closed out by you. So is everything that comes after: returns, replacements, and service visits.

The work is genuinely blended. Most of your day is at a desk, in carrier portals and email, quoting and booking and scheduling and solving problems in writing. The rest is on the floor with the casting and packaging teams, because you can't schedule a shipment well if you don't know what's actually crated and ready.

What you'll do

Book and manage freight. Quote and book threshold and white glove freight through our BlueGrace portal and directly with our carrier reps. Book FTL truckloads for large orders and wholesale POs. Classify shipments correctly, build accurate BOLs, and specify the accessorials the job actually needs — liftgate, residential, limited access, inside delivery, appointment scheduling.

Run local and white glove delivery. Schedule our own local deliveries, book courier delivery through Lugg, and coordinate white glove installs with our delivery partner. Provide white glove quote estimates to sales and customers.

Handle retail partner fulfillment. Acknowledge and invoice Design Within Reach and Williams Sonoma orders through their SPS and Manhattan EDI portals, and route DWR shipments through the AIT portal. Meet their routing and labeling requirements so we don't take chargebacks.

Manage returns, exchanges, and replacements. Schedule pickups and return freight, coordinate replacement shipments, and file and track damage claims with carriers.

Schedule service and repairs. Take service and repair requests through to resolution — coordinate directly with the customer on scheduling and access, then build and manage the internal schedule with our technicians. Keep both sides informed when a date moves.

Partner with customer service. Be the source of truth on delivery timelines. Communicate lead times, booked dates, delays, and changes to the customer service team early enough that they can get ahead of it with the customer.

Keep orders moving through the shop. Tag incoming Shopify orders by fulfillment path, enter domestic orders into Monday with the details production needs, and get packing slips to the packaging team ahead of crating.

Support the floor. Order shop supplies against our material request process, schedule concrete and powdercoat pickups, and help run periodic inventory counts.

What you need
  • 2+ years booking and managing freight — LTL, FTL, and final-mile — in a shipper, 3PL, or brokerage environment
  • Working fluency in freight mechanics: class codes and NMFC, density and dimensional weight, BOLs, accessorial charges, and how a quote becomes an invoice that doesn't surprise anybody
  • Real comfort with delivery tiers, and the judgment to know when a piece needs white glove rather than threshold
  • Experience with carrier and customer portals, and the patience to work inside somebody else's system
  • Direct customer-facing scheduling experience — you're comfortable owning a date with a homeowner or a designer, and comfortable calling when it changes
  • Clear, fast written communication with carriers, customers, technicians, and internal teams
  • Accuracy under volume — small errors here become expensive freight claims
  • Willing to work onsite, comfortable moving between a desk and an active production warehouse, on your feet part of the day, able to lift up to 50 lbs and work around forklift and casting operations
Helpful, not required
  • Furniture, appliance, fixture, stone, or other heavy-goods shipping
  • Retail EDI (SPS Commerce, Manhattan Associates) and vendor routing compliance
  • Field service or install scheduling
  • M------------, Shopify, or comparable systems
  • Freight claims experience
  • Conversational Spanish — much of our production team speaks Spanish
Where this goes

We're growing with two new retail locations opening this October, and depending on how fast we scale, a second facility or a change of location is a real possibility within the next year. Volume and complexity are both going up.

That means this role grows too. We're building out our operations function this year, and whoever does this job well and wants more of it will have a clear path into broader operations, inventory planning, or vendor management.

Compensation and benefits

$60,000–$65,000 depending on experience. Health coverage, paid time off, and a small team where your work is visible to everyone including the CEO.

To apply

Send a résumé and a short note to ------------. In the note, tell us how you would ship a 300 lb 7’ long cast concrete lounge chair from San Francisco to a residence in Tahoe, and what you'd want to know before quoting it.

We don't need a cover letter. We do want to see how you think about a shipment.

Galanter & Jones is an equal opportunity employer.
