We are a well-established, 2 doctor oral surgery practice in the heart of Walnut Creek dedicated to exceptional patient care and an outstanding team environment. We’re seeking an experienced, detail oriented Dental Treatment Coordinator to join our A Team and help guide patients through their treatment journey from consultation to completion.

Position Overview
As our Dental Treatment Coordinator you will be the primary patient advocate and liaison between patients, clinical staff, and insurance companies. You will ensure that patients understand recommended treatment plans, financial options, scheduling, and any pre- or post operative instructions. This is a full time position (4-5 days/week) focused on creating a seamless, informative, and compassionate experience for every patient.

Key Responsibilities
• Greet patients, establish rapport, and serve as the first point of contact for treatment-related questions.
• Review and explain treatment plans presented by the oral surgeon, including procedures, timelines, and expected outcomes.
• Present financial options and payment plans clearly and professionally; collect deposits and coordinate billing as needed.
• Coordinate and schedule surgical and follow up appointments, managing calendars for the clinical team and making adjustments when necessary.
• Confirm patient appointments by phone, text, or email and follow up on cancellations/no shows.
• Verify and update patient demographic, medical, and insurance information; check insurance eligibility and benefits for proposed procedures.
• Obtain pre authorizations and assist with claim submission and follow ups when required.
• Maintain accurate and organized patient records, consent forms, and financial agreements.
• Provide clear pre and post operative instructions and ensure patients have necessary resources and contact information.
• Work closely with marketing and patient outreach initiatives to help grow patient referrals and retention (assistance with patient education materials, community outreach events, or social media may be requested).
• Serve as a knowledgeable resource for dental terminology and surgical processes to help patients make informed decisions.
• Demonstrate attention to detail, problem solving, and a calm presence in a fast paced clinical environment.

Qualifications & Skills
• Proven experience in a dental front office, treatment coordination, or patient care coordinator role—preferably in oral surgery or a specialty practice.
• Strong verbal communication skills and professional phone etiquette; ability to explain complex information simply and compassionately.
• Comfortable discussing finances and presenting payment plans with empathy and clarity.
• Excellent organizational skills and ability to multi task in a busy environment.
• Reliable, positive attitude and a collaborative team player.
• Quick learner with dental practice management software and standard office technology (experience with specific systems is a plus).
• Basic knowledge of dental terminology and insurance procedures; marketing experience is a plus.
• Self motivated with initiative and strong attention to detail.
