About the Role:

Under the direction of the manager, perform a variety of duties including a heavy focus on client satisfaction and retention, daily administrative work, technological support, and overall general management. The Service Associate supports the center manager through daily management of center and other tasks including building the community for the clients to collaborate and events to help them build their businesses. The OM assists the center manager with sales.

Responsibilities:

  • Serves as a primary point of contact for clients and guests, addressing inquiries and resolving concerns in a timely and professional manner.
  • Provides ongoing client support including administrative assistance and service requests
  • Assists with daily center operations including opening and closing procedures.
  • Sorts and distributes incoming mail and packages daily, including preparing outgoing mail and coordinating mail forwarding as requested.
  • Supports prospective client tours and assists with the sales process as needed by the General Manager.
  • Prepares offices for new clients including furniture setup, signage and welcome materials
  • Troubleshoots basic technical and operational issues including phones, internet connectivity, software platforms, and office equipment.
  • Programs and maintains phone systems including extensions, voicemail and call answering software
  • Troubleshooting of office equipment including printers, copiers, scanners, and conference room technology.
  • Assists with billing collections in coordination with the Area Billing Manager.
  • Coordinates and supports client events including planning, setup, hosting, and breakdown.
  • Maintains kitchen and service areas including stocking supplies, coffee service, and general upkeep throughout the day.
  • Supports overall cleanliness and presentation of the center including light maintenance, organization, and coordination of repairs.
  • Performs additional duties and special projects assigned.

Mandatory Skills

  • Minimum 3 years’ experience in an administrative role.
  • Minimum 5 years’ experience in an office environment.
  • Advanced Experience with Microsoft Office suite, including Word, Excel and Outlook.
  • Ability to communicate effectively and professionally
  •  Ability to multi-task and adapt to a given situation.
  • Demonstrates exceptional communication and customer service skills.
  • Demonstrates strong organizational skills, ability to prioritize workload and work efficiently with minimal supervision.
  • Basic troubleshooting technical skills.
  • Conveys “Quest Culture” of a positive attitude, client service and an entrepreneurial spirit.
  • Reasoning, remembering, mathematics and language ability
  • Crouching, kneeling, standing, climbing, stooping, walking, pushing, pulling and lifting.
  • Ability to assist in moving/lifting items weighing over 50 pounds as needed/required.
