Roles and Responsibilities:

  • Monitor all phone calls, transfer and relay messages as applicable
  • Monitor kitchen maintenance, food/beverage inventory including expiry dates, online ordering/tracking, receipt of deliveries, restocking and organization of supplies
  • Take inventory of all office stationery, order and refill as needed
  • Monitor office cleanliness including routine walk-throughs of all spaces and storage areas, and communicate with cleaning staff to ensure requests are fulfilled 
  • Manage conference room bookings
  • Register guests, greet visitors upon arrival, validate parking, attend to beverages and other accommodations as needed
  • Assist with scheduling office vendor service calls and oversight of work completion
  • Manage postal mail including PO Box collection, sorting, scanning and distribution
  • Prepare USPS certified mail, FedEx and UPS shipments and track deliveries (domestic and international)
  • Send/receive e-faxes and assist with Docusign envelopes
  • Coordinate Executive business lunch reservations upon request
  • Run various errands as needed, within walking or driving distance
  • Assist with administrative tasks and special projects
