We are seeking an entry level Administrative Specialist for a front desk position working at a professional architecture/engineering firm in North Irving, TX.  This is a full time, fully Onsite position. Salary $40-45k/annual.

Responsibilities:
  • Unlocking/locking doors and turning on/off TV
  • Answering phones, assisting in clearly directing incoming callers
  • Greets and directs clients and other visitors
  • Collects and sorts of incoming mail, delivery parcels and faxes
  • Prepares outgoing mail and delivery parcels
  • Maintains front office, reception and conference room areas
  • Maintaining survey equipment check out
  • Types memos, letters, VE reports and other correspondence for other architects, engineers, development department and/or accounting department
  • Maintaining office supplies such as paper levels for all printers, Staples order and Amazon ordering
  • Works with supervisor to be responsible for placing service calls for office equipment
  • Maintain USPS postage stamps and equipment and other parcel delivery equipment and supplies.
  • Connects with outside product vendors to coordinate presentations and Lunch N Learns for the office as well as internal presentations.
  • Sends out Anniversary, Birthday and New Team Member announcements.
  • Maintain Office Directories and Maps
  • Assisting Supervisor with various administrative tasks such as but not limited to a few New Hire documents in the New Hire Packet, gathering headcounts for events, file folder creation and organization
  • Order lunch for office wide events and/or small meetings
  • Booking Flights, as needed
  • Booking Rental Cars, as needed
  • Calling hotels to get necessary forms for payment, as needed
  • Handle issues with travel arrangements while employees are on site (when needed)
  • File receipts with correct billing correspondence digitally and physically
  • Assisting in various tasks from others around the office as needed.
