Redondo Beach’s premier preschool is looking for an Administrative professional to support our School Director and staff. You will be working with a team of creative professionals who are genuinely passionate about early childhood education.
This position will be responsible for managing the preschool office including enrollment, school billing and tuition, data entry and organization, as well as day to day office duties.
We are looking for a professional who is trustworthy, diligent and competent, detail orientated, well organized, motivated, adaptable and possessing great time-management and multitasking abilities. The candidate will play an important part in helping us meet and exceed our goals and fulfill our school mission.
Essential Duties and Responsibilities Include but are not limited to:
Admissions & Enrollment:
In this role, you will manage all aspects of registration and onboarding of new families.
· Field new parent inquiries about the school via web requests and phone calls
· Provides prospective families with digital and printed materials on our school
· Arrange tours of the school
· Keep admissions records organized and maintain waitlist
· Create and distribute registration material through various software
· Create and maintain student files ensuring data is kept current and in line with Community Care Licensing Guidelines.
· Organize and advertise introductory programming such as Parent & Me classes
Administrative
· Screen all phone calls and redirect when appropriate
· Handle and prioritize all outgoing or incoming correspondence · Handle confidential documents ensuring they remain secure
· Supervise all data intake to ensure it is being entered, organized and stored correctly
· Processing and filing of state required forms and documentation.
· Performs word processing, and data entry in Microsoft applications and various office
software systems.
· Updates student files with submitted paperwork
· Creates and emails event notices pertaining to the school or JCC electronically.
·Assist all administrators, teachers and parents in day to day needs
· Maintains a stock of all office supplies, including paper and toner for office printer/copiers.
· Assists with laminating calendars, assembling parent handbooks, preparing envelopes and labels and other duties as assigned.
· Updates and assists in maintaining JCC and school websites.
· Other duties as dictated by the needs of the business
Knowledge, Skills, and Abilities:
Qualifications:
· Bachelor’s Degree preferred in Business Administration or related field
· Proficient in Microsoft Office and open to learning new software
· Excellent time management and organizational skills
· Have excellent verbal and written communication skills
· Have excellent attention to details and accuracy with numbers
· Be hard-working, passionate, and have a high degree of integrity
· Able to multi-task and handle competing priorities
· Have excellent problem-solving skills and the ability to take action confidently and decisively
· Able to lift at least 25lbs
We are looking to hire immediately upon initial phone and in-person interviews. Priority will be given to candidates with prior, proven experience. This position performs a variety of secretarial and administrative support duties for the School Directors and JCC Staff. Salary will be discussed upon interview.
