Job Overview
We are seeking two part-time Secretaries/Administrative Assistants to join our mental health office. The ideal candidates will be organized, compassionate, and detail-oriented. As a part of our team, you will help create a welcoming environment for clients and support the daily operations of our office.

Key ResponsibilitiesClient Services

  • Greet clients warmly and ensure a professional, calming environment.
  • Assist clients with check-in, intake forms, and general inquiries.
  • Provide appointment reminders, handle cancellations, and manage follow-up communications.
  • Maintain confidentiality and adhere to HIPAA guidelines at all times.

Scheduling & Communication

  • Answer phone calls, respond to emails, and manage office communication.
  • Schedule, confirm, and adjust client appointments for multiple clinicians.
  • Maintain accurate client records and documentation in an organized manner.

Billing & Insurance Support

  • Verify client insurance information and assist with insurance-related questions.
  • Process payments, issue receipts, and follow up on any outstanding balances.
  • Assist in submitting insurance claims and tracking claim statuses.

Administrative & Office Duties

  • Maintain both electronic and paper filing systems for client records and office documents.
  • Prepare forms, letters, and office documentation as required.
  • Monitor and order office supplies when necessary.
  • Ensure the waiting room and office areas remain clean, organized, and comfortable.
  • Support clinicians with administrative tasks such as referrals and documentation.

Qualifications

  • Prior experience in an administrative or front-desk role preferred (preferably in healthcare or mental health).
  • Strong organizational skills and ability to prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Proficient in office software, scheduling systems, and electronic health records.
