Primary Duties:

  • Answer all incoming calls 
  • Schedule new patient appointments utilizing intake form (following EndoMastery guidelines)
  • Direct patient to go online to fill in patient intake information in advance of their appointment
  • Verifies all insurances before patients first visit
  • Updates insurance coverage information as needed 
  • Electronically submit, fax or mail insurance claims (may have to)
  • Informs marketing coordinator of any new referring doctors
  • Greet patients 
  • Prepares new patient charts with appropriate indicators
  • Creates family file in Dentrix (see attachments)
  • Generates new patient paper work if needed 
  • Present new patients with MConsent tablet to fill or have them to fill out in advance before their appointment
  • Schedule patients according to treatment plan (see dentrix schedule follow endomastery guidelines)
  • Checking patients out and collecting patient payments 
  • Confirm patient appoints two days in advance either text or phone
  • create patient for the next day
  • Check for messages on phone and email (Ring Central and Doctors internet (Hipaa submission)
  • Inform all staff members of any schedule changes as they occur and post on schedule in sterilization and lunch room
  • Opens daily mail 
  • Mails final reports and acknowledgments 
  • Unlock at the start of each day
  • Ensures that office is locked securely and that all lights are powered off nightly
  • Generate monthly recall cards (see attachment)

 

 

 

 

 

 

Secondary Duties:

  • Make copies 
  • Destroy records after appropriate time
  • Maintains cleanliness of reception area and waiting room
  • Changes ink cartridges for printers, fax and postage machine as needed
  • Generates “referred to” reports 
  • Maintain inventory control and informs office manager of any supply needs
  • Replenishes any reading materials for patients
  • Complete reports or tasks assigned by doctor or office manager

 Physical Requirements: Must be in good physical condition and be able to withstand hours of standing, walking, stooping, bending and sitting.  Vision and hearing should be adequate for daily work.
