Executive Assistant (EA)

Overview

Owns Jason’s logistics and daily flow so he can lead, create, coach, and speak. Works with CoS to anticipate needs and supports both professional and personal priorities. 90% fully remote position.

Core Responsibilities

  • Manage calendar, inbox, travel, and scheduling.
  • Handle Asana for Jason’s meetings/tasks (internal + client).
  • Communicate with clients for scheduling and follow-up.
  • Support relationships with thoughtful touches.
  • Manage personal side: doctors, birthdays, anniversaries.

     

Success looks like: Jason’s professional and personal logistics run seamlessly, creating space for his highest-value work.

Traits & Qualifications

  • Detail-oriented, proactive, discreet.
  • Anticipates needs ahead of time.
  • Relationally savvy and client-comfortable.
  • Thrives in a support role, accurate under pressure.

Ability

  • Previous experience supporting senior executives or entrepreneurs.
  • Proven ability to manage complex scheduling, travel, and personal logistics.
  • Comfort using Asana, Google Suites, Airtable (or similar) to coordinate workflows.
  • Bonus: exposure to coaching, training, or creative/media environments.

Authority

  • Credibility comes from discretion and reliability.
  • Previous execs should vouch: “I trusted them with everything, and they made me 2x more effective.”
  • Authority is quieter here but no less vital — respect comes from precision and trust.

     

Accessibility

  • Doesn’t need a broad external network.
    Should have vendor/partner relationships (travel agents, event vendors, doctors’ offices, etc.) that they can tap.
  • Internal accessibility is key — must quickly build trust with company execs and Jason’s clients.
