Job Title: Office and Events Coordinator
Reports To: Office and Special Events Manager
Status: Full-time | Hourly (with opportunity for commission)
Position Summary:

The Office and Events Coordinator is responsible for managing the Sebring Welcome Center, supporting day-to-day administrative operations, coordinating marketing efforts, assisting with Chamber event logistics, and maintaining a strong connection between Chamber members and the public. This role plays a key part in delivering professional, responsive, and organized service to Chamber members, visitors, and event participants.

 

Key Responsibilities:

Welcome Center & Administrative Support

  • Manage the Welcome Center: answer phones, maintain cleanliness, restock member and new resident packets.
  • Regularly check and restock all brochure racks, business cards, flyers, and printed materials.
  • Make copies and updated as need of all Chamber-produced brochures/flyers; reorder when supplies are low.
  • Keep area neat and clear of clutter. Wipe off counters and wipe down windows with smudges daily. 
  • Review newspapers and Facebook for major community and Chamber member events to be added to the Calendar of Events.
  • Update the printed and digital Chamber Community Calendar on a regular basis.
  • Prepare and sort outgoing/incoming mail daily.
  • Notify CEO of low supplies in kitchen, bathroom, and office.
  • Scan and deliver incoming bills/statements to CEO.

Event Support & Communications

  • Keep track of registrations for all Chamber-run events, including sending invoices when necessary.
  • Maintain availability for Chamber events, including major fundraisers like the Annual Banquet, Sebring Soda Festival, Gobble Wobble, Pilgrim Palooza, etc. (some evenings and weekends required).
  • Rotate staffing of booked events at the Circle Theatre with team members.
  • Update the Visitor/Telephone Log prior to monthly board meetings.
  • Print and prepare event flyers and sponsorship materials for board packets.

Social Media & Marketing

  • Manage social media accounts for:
    • Sebring Chamber
    • Circle Theatre
    • Gobble Wobble
    • Falloween
    • Soda Festival
  • Share Chamber member posts regularly and rotate for fairness.
  • Submit monthly content calendar for approval to CEO by the 25th of each month.
  • Coordinate Marvelous Member announcements via email and social media.
  • Send Soda Pop Princess coordinator the latest Marvelous Member names.
  • Prepare, maintain, and distribute weekly e-blasts to members.
  • Keep email contact lists updated in accordance with new/removed members.

Website Management

  • Update the following websites with event and member-related content:
    • Sebring Chamber
    • Circle Theatre
    • Gobble Wobble
    • Soda Festival

Member & Financial Coordination

  • Track invoicing and send communications through GrowthZone as needed.
  • Maintain up-to-date records for event payments, sponsorships, and registrations.
  • Email/ mail invoices as necessary. Past due invoices should be mailed after 30 days past due. 

 

Other Duties:

  • Perform other duties as assigned by the Office and Special Events Manager, CEO, or Board of Directors.

 

 

 

 

Compensation & Benefits:

Compensation:

  • Hourly rate based on experience
  • Opportunity for base pay plus commission (to be evaluated at 90 days and again at 6 months)

Paid Time Off (PTO):

  • Years 1–2: 10 Days PTO + Paid Holidays
  • Years 3–5: 15 Days PTO + Paid Holidays
  • Year 6+: 20 Days PTO + Paid Holidays
  • Paid Holidays – Highlands County Board of County Commissioner approved holiday calendar.
