The Girls on the Run® Office Coordinator supports the successful delivery of GOTR programming throughout the Triangle and assists the program manager and senior operation manager. Office Coordinator is responsible for providing some administrative support to the organization, including but not limited to helping program managers coordinate programs, creating and sustaining positive relationships with site contacts, coaches, and families, and ensuring quality programming. Administrative support to the organization, assisting the senior operation manager in managing vendor relationships, facility and supply maintenance, data entry and maintenance, training, event coordination, and support. The program coordinator reports to the executive director while working collaboratively with program managers and senior operational managers.
Program Coordination
♦ Implement the Girls on the Run strategic program plan and collaborate with the team to achieve program goals assist Program Manager in developing GOTR site relationships.
♦ Develop newsletter and marketing strategies and material to grow our networks with the program managers.
♦ Assist the Program Manager with overseeing & ordering program and participant materials, supplies, and paperwork.
♦ Assist in managing program registration and communicate results to sites, parents, and coaches.
♦ Support registration & 5K communication with families including registration confirmation or waitlist status families via email
♦ Overseeing the programming email.
♦ Assist the Program Manager in coordinating all aspects of participant and coach participation in the 5K
♦ Responsible for sites collectively when the Program Manager has more than 25 sites such as helping with existing sites and conducting site visits to ensure quality program implementation.
♦ Order any supplies needed for the season.
♦ Coordinated with PM to deliver program bins and yard signs to various sites.
♦ Plan and implement coach appreciation events.
♦ Plan and create 5k emails to go out to families, including updating the Family 5k Guide.
Coach/Site Coordinating and Training
• Assist Program Manager screen and recruiting potential GOTR coaches ensuring all sites have 2 – 3 well-qualified and committed coaches per team Assist in training coaches to ensure program fidelity and quality.
• Review applications and respond promptly to each one; maintain correspondence with applicants through placement and onboarding.
• Assist the Program Manager by providing weekly communication support with curriculum and season information and updates
• Manage administrative pieces of program implementation including program inventory, registration information, program evaluations, and applications in Pinwheel.
• Work with PMs to register volunteers for CPR & First aid before coach training.
• Plan a Coach appreciation event. Coordinate with vendors and PMs
Administrative Support Responsibilities
• Enter and ensure the accuracy of all financial recordings for the program department with the senior operation manager.
• Enter and ensure the accuracy of all pertinent data into our data management system the senior operation manager.
• Make timely bank deposits
• Inventory, organize, maintain, and order office and program supplies and GOTR merchandise
• Provide administrative support for all GOTR Triangle staff
• Provide general assistance with program registration
• Process program registration refunds, withdraws, and track financial payment plans
• Process and assist with facility use applications, payments, closures, and timelines
• Maintain all necessary vendor and administrative files
• Ensure proper facility maintenance and support at the GOTR Triangle office.
• Process all payment plans in Pinwheel.
• Order any supplies needed for the season.
● Assisted junior working with Triangle Nonprofit Commissioner's Award.
Organizational Support
• Play a support role at the fall and spring end-of-season 5K events.
• Attend community events on behalf of the organization to raise awareness of the organization or in support of a community partnership along with the program manager.
• Coordinate and attend organization events including site visits, prospective site or coach meetings, coach training, fundraisers, and the Girls on the Run 5K events.
Required Skills/Characteristics
♦ AS or BS required, preferably in youth development, public health, education or social work or experience in program coordinating.
♦ Must display a personal passion for the mission of GOTR and be a role model for health and self esteem.
♦ Able to convincingly present GOTR program offerings and possess a depth of knowledge, or a willingness to learn, about the GOTR program and philosophy.
♦ Ability to interact effectively with school personnel, volunteers, families, and GOTR participants.
♦ Ability to recruit, screen, train and motivate community-based volunteers that are committed to well-being and empowerment of girls
. ♦ Excellent project coordination, communication, collaboration and team participation skills.
♦ Outstanding relationship building skills and ability to respond quickly and empathically to volunteer coaches and sites, and generate win-win solutions.
♦ Remains composed under stress and take personal responsibility for delivering on personal and organizational commitments.
♦ Must be able to work in a fast-paced environment, particularly during season openings and 5k season.
♦ Ability and willing to travel within assigned territory, using a personal vehicle.

Girls on the Run - Triangle is a collaborative and passionate group of people. We’re hard workers who support each other and go above and beyond for our GOTR girls. This position will quickly grow into a management position with hard work and dedication. Some evening and weekend availability is needed to support coach, volunteer, and fundraising events This is an in-office position with working remotely on Fridays. This position will work in our Durham office.
Position Specifics: Exempt /hourly, 40 hours per week, starting at $38,563-$41,000 /annually with benefits – health insurance, dental, and vision, paid by Girls on the Run Triangle. Retirement options with match by Girls on the Run Triangle. This position reports to the Executive Director but works closely with the program managers and the senior operations director.
