We are seeking a highly organized and detail-oriented Office Assistant to join our team. The ideal candidate must be fluent in Microsoft Excel and possess excellent administrative skills. This role involves a wide range of responsibilities, including maintaining employee personnel files, managing plant inventory, updating the company website, assisting with trade show preparations, acting as a personal assistant for various tasks, handling payroll and order entry, and providing exceptional customer service. The Office Assistant will also be responsible for compiling sales reports, performing general office equipment maintenance, answering phones, managing plant tags, keeping pesticide records, and fulfilling other general office duties as required.

Responsibilities:

  • Complete and maintain employee personnel files and all required documents
  • Maintain plant inventory and availability lists
  • Update the company website as needed
  • Assist with company trade show preparations
  • Act as a personal assistant for banking, scheduling appointments, travel arrangements, etc.
  • Handle payroll processing
  • Manage order entry and communicate with customers regarding order changes, shipping, and plant availability
  • Compile and generate sales reports and spreadsheets
  • Perform daily general maintenance of office equipment and computers
  • Answer phones and provide excellent customer service
  • Create plant tags for all incoming and outgoing plants
  • Keep pesticide records up-to-date
  • Fulfill various general office duties such as ordering supplies, cleaning, processing incoming and outgoing mail, etc.

Qualifications:

  • Proficiency in Microsoft Excel is a must
  • Previous experience in office administration or related field preferred
  • Excellent organizational and multitasking abilities
  • Strong attention to detail and accuracy
  • Effective communication skills, both written and verbal
  • Ability to work independently and as part of a team
  • Basic knowledge of website maintenance is a plus
  • Familiarity with payroll processing software is an advantage
  • Must be available on short notice to sub if needed
