Location: Lynchburg & Surrounding Co (Office located in Forest, VA)

Travel Required: Yes - Travel to Events & Visiting Member Businesses

Reports To: Executive Director

Job Description:

As an Office Assistant at Central Virginia Business Coalition, you will play a crucial role in ensuring the smooth operation of our office and providing a welcoming environment for visitors and members. You will be responsible for a wide range of administrative tasks and front desk duties.

 

Key Responsibilities:

 

Reception:

Greet and welcome visitors with a professional and friendly demeanor.

Answer incoming phone calls and direct them to the appropriate personnel.

Maintain a clean and organized reception area.

 

Administrative Support:

Assist with data entry, document preparation, filing, and mailings.

Manage and coordinate schedules, appointments, and meetings.

Handle incoming and outgoing mail and packages.

Order and maintain office supplies and equipment.

Assist in preparing reports, presentations, and correspondence.

 

Membership Support:

Assist in processing new member applications and renewals.

Assist in Mailing out Renewal Invoices and Making Past Due phone calls

Respond to member inquiries and provide information about the coalition's programs and services.

Maintain accurate records of membership data.

 

Event Support:

Assist in planning and organizing events, workshops, and meetings.

Help with event logistics, such as setting up meeting rooms, arranging catering, and managing registrations.

 

General Office Duties:

Collaborate with other team members to ensure office tasks are completed efficiently.

Maintain a tidy and organized office space.

Handle basic office equipment troubleshooting and maintenance.

 

Qualifications:

 

High school diploma or equivalent

Prior experience in office administration or receptionist roles is a plus.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong communication and interpersonal skills.

Excellent organizational skills with attention to detail.

Ability to multitask and prioritize tasks effectively.

Professional appearance and demeanor.

Reliable and punctual.
