Job Title: Home Health Office Manager

Location: 1277 N Semoran Blvd, Orlando, FL 32807

Reports To: Administrator / Director of Operations

Employment Type: Full-Time

Position Summary:

The Home Health Office Manager oversees the daily administrative operations of a growing home health agency. This role ensures efficient office workflow, regulatory compliance, staff coordination, and excellent patient and clinician support. The ideal candidate has prior experience in home health management, strong leadership and organizational skills, and a passion for building and improving systems to support company growth.

Key Responsibilities:

Administrative & Operational Management

  • Manage day-to-day office operations, including scheduling, staffing coordination, and communication between clinical and administrative teams.
  • Ensure compliance with all Medicare, Medicaid, and state home health regulations.
  • Monitor and improve processes related to referrals, admissions, documentation, and billing.
  • Support the preparation for audits, surveys, and quality assurance reviews.
  • Maintain office systems, records, and communication tools to enhance operational efficiency.

Staff Coordination & Leadership

  • Supervise and train office administrative staff, intake coordinators, and support personnel.
  • Assist with onboarding of new clinicians and office staff.
  • Promote a positive, team-oriented work environment focused on quality and accountability.
  • Coordinate with the Director of Nursing and field staff to ensure timely communication and task completion.

Financial & Performance Oversight

  • Assist in budget management, cost tracking, and payroll processing.
  • Support billing and collections efforts to ensure accurate and timely reimbursement.
  • Monitor key performance indicators (KPIs) related to productivity, admissions, and compliance.

Growth & Business Development Support

  • Identify opportunities to streamline processes and improve workflow efficiency.
  • Collaborate with leadership to implement new technologies or systems supporting agency growth.
  • Participate in strategic planning and growth initiatives, including marketing and community outreach support.

Qualifications:

  • Required:
    • Minimum 2–3 years of experience in home health administration or office management.
    • Strong knowledge of Medicare/Medicaid home health regulations and documentation requirements.
    • Excellent communication, leadership, and organizational skills.
    • Proficient in EMR systems (e.g., HHAexchange, Alora- Alora Plus, or similar) and Microsoft Office Suite including PowerPoint Presentation. 
  • Preferred:
    • Associate or Bachelor’s degree in Healthcare Administration, Business, or related field.
    • Experience managing teams in a growing or multi-site home health organization.
    • Familiarity with quality improvement initiatives and performance metrics.
    • Bilingual (Spanish in addition to English)
