We are seeking a highly organized and professional Front Desk Receptionist to join our plaintiff law firm. As the first point of contact for our clients and visitors, you will play a critical role in creating a positive and welcoming environment. Your exceptional customer service skills and ability to multitask will be essential in handling a variety of administrative tasks while providing exceptional service to our clients. This position requires strong communication skills, attention to detail, and the ability to maintain confidentiality.
Responsibilities:
Greet and welcome clients, visitors, and staff with a professional and friendly demeanor.
Provide excellent customer service by promptly addressing client inquiries, answering phone calls, and directing calls to appropriate staff members.
Answer all incoming calls promptly and professionally, using a multi-line phone system.
Direct calls to the appropriate attorneys, staff members, or departments, ensuring accurate and efficient call routing.
Take messages accurately and relay them promptly to the intended recipients.
Handle general inquiries and provide basic information about the firm's services to callers when necessary.
Manage the reception area, ensuring it is clean, organized, and presentable at all times.
Schedule appointments and maintain the firm's calendar, ensuring accurate records and timely reminders.
Coordinate client meetings, including scheduling conference rooms, preparing necessary materials, and arranging for refreshments if needed.
Maintain confidentiality of sensitive information and documents.
Assist attorneys and staff with administrative tasks, such as document preparation, filing, copying, and scanning.
Assist with maintaining and updating client records, ensuring accuracy and completeness.
Collaborate with other administrative staff to support the smooth operation of the firm.
Perform other duties as assigned by the office manager or supervising attorneys.
Requirements:
Four year degree is preferred
Previous experience as a receptionist or in a customer service role is preferred.
Familiarity with the legal industry or law firm environment is desirable.
Excellent verbal and written communication skills.
Exceptional interpersonal skills with the ability to interact professionally with clients, staff, and visitors.
Strong organizational skills and the ability to multitask in a fast-paced environment.
Proficient in using standard office software (e.g., Microsoft Office Suite, email, calendar applications).
Professional appearance and demeanor.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong attention to detail and accuracy.
Ability to work independently as well as collaboratively in a team.
