We are looking for an organized, efficient Officer Manager with an eye for detail. The position reports to our Chief Financial Officer and supports the larger FSI team. The position is expected to handle internal and external communications; maintain client accounts; support human resources needs; maintains inventory, database, and various records; processes payables; supports marketing, IT, and social media needs; organizes employee travel; and generally, ensure that the office operations are running smoothly.
To succeed in the position, you should be a skilled multi-tasker with excellent time management, computer, and communication skills. We favor applicants with experience and/or formal training in business administration, accounting, or human resources or other field with similar qualifications. Experience creating and maintaining databases, and website design and maintenance are also desirable. Attention to detail, attendance, and timely performance of tasks and professional demeanor are essential. You should be professional and courteous with strong organizational skills, have an ability to quickly understand assignments and work independently on completion of tasks. This position responsibilities involves:
• Supporting company operations by maintaining office systems, including organizing office operations and procedures, managing correspondence, designing filing systems, reviewing and approving supply requisitions, and monitoring clerical functions;
• Performing basic office tasks, including answering phones, responding to emails, processing mail, filing, etc.;
• Maintaining an electronic database, ensuring that records are complete and current;
• Recording information, processing, and organizing company information;
• Maintaining and updating company websites and social media accounts;
• Responding appropriately to a vendor, client, and internal requests;
• Collecting mail and electronic invoices, scan, sort and ready for payment;
• Assist program managers in ordering materials, making travel arrangements, and arrangements for larger gatherings;
• Maintain office supplies and ensure tidy and friendly office appearance for clients;
• Communicating verbally with others in an enthusiastic, professional manner;
• Ensuring office runs smoothly and efficiently;
• Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement;
• Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments;
• Maintains staff by supporting recruiting, orienting, and training employees; and
• Support human resource management needs
Minimum qualifications
• High School diploma or GED equivalent is required, additional education is preferred, plus one (1) year experience is similar position;
• Ethical behavior when dealing with sensitive information;
• High level of accuracy and efficiency;
• Exceptional verbal and written communication skills;
• Courteous, professional manner, strong customer service skills;
• Computer literacy and strong typing skills,
• Experience with marketing and social media management may be required;
• Able to work efficiently on a personal computer interface, operate standard office equipment such as scanners and copiers, convert file formats;
• Able to use Microsoft Office suite of programs, especially excel and word. Access database management desirable;
• Physically able to occasionally lift 50 lbs, able to retrieve mail from local post office on a regular basis;
• Able to work consecutive 8 hours, 5 days a week from our main office Pa‘auilo, Hawai‘i and with occasional work duties at Kona office location;
• Able to legally work in the United States at the time of hire;
• Attention to detail;
• Willingness to comply with all company, local, state, and federal financial regulations.
Desirable qualifications
• Bachelor's degree business administration, accounting, or related field;
• Accounting and book-keeping experience;
• Database creation and maintenance;
• Knowledge or passion for Hawaii’s natural and cultural places;
• Speak or understand languages in addition to English.
Compensation Benefits
Compensation based on experience, with competitive wages, dental, vision, and general healthcare provided. Starting wages of 42,000+ per year.
