The service and parts coordinator primary function will be the researching, sourcing, and procurement of parts needed for both follow up and jobs requiring a quote. Will coordinate with techs, vendors, and the service dispatcher to effectively schedule and communicate when follow up or quoted calls are scheduled for their return visit.
Duties Include:
- Effectively researching and preparing quotes for customers
- Review of work orders from maintenance and service teams, determine those requiring quotes or follow up
- Ordering parts for both follow up calls and approved quotes
- Scheduling follow up with customers, update portals as needed
- Maintaining a high level of customer communication through a mixed use of emails, phone calls, and online customer portals
- Planning out return trips one to two weeks out depending on customers needs and part availability
- Find training programs for individual technicians and whole team
- Schedule and sign up members for training
- Enter and manage accurate service contracts and checklists
- Able to triage schedule changes and keeping co-workers and customers properly informed
- Assisting in taking new work orders and entering them into our work order tracking system
- Work with warehouse manager to keep parts orders up to date and correctly labeled out back
- Assist dispatcher in scheduling overflow as necessary including emergency calls and preventative maintenance visits
- Rotational turn in monitoring off hours service calls
- Additional duties as required
