Bay Area Tutoring Centers is looking for an organized, thorough and self-motivated Office Manager.
The Office Manager will work 32+ hrs/wk in our San Ramon office – Monday through Thursday, 2 to 8-10pm (depending on workload) and Sunday, 10am-6:30pm. The Office Manager may be required to work longer hours during peak seasons – twice yearly, Nov/Dec & May/June.
Working at BATC
• Pay is $27/hr

Position Description + Responsibilities
We are a busy, fast-paced small business and we need an Office Manager who is comfortable with varying roles, extremely detail oriented and excellent at multi-tasking. The ideal candidate is people savvy, comfortable having sophisticated conversations with parents, and who can adapt and learn quickly.
We are looking for an Office Manager who will fit well within our company and who quickly grasps our office environment. The Office Manager will begin by taking on basic tasks, such as helping clients in person and over the phone, taking messages, filing and data entry. Upon further training, the Office Manager will schedule students with tutors, assist in the scheduling of tutors and act as an ongoing, independently responsible presence in our office. Our Office Manager is the ‘go-to’ person for our students, their parents and our team of tutors.
Customer service, including answering phones, taking messages and conferencing with clients face to face is a significant, and very important part of this job. We are looking for an Office Manager who is very comfortable providing friendly and helpful service, in person and over the phone. This will include discussing the basics of our programs and scheduling, as well as answering questions about academics and testing. The Office Manager must also have a good memory and be able to recall important information quickly and accurately.
The Office Manager must have excellent communication skills and must demonstrate a high level of follow-through. In addition to speaking with parents and students, the Office Manager will communicate on a daily/weekly basis with the Company President and Operations Manager to prioritize tasks, provide information and to take direction on the completion of projects, etc.
Beyond Basic Responsibilities
We are looking for someone special – an Office Manager with an interest in assisting to grow the business and bring in new students through thoughtful phone conversations/email and outreach. An Office Manager who performs above the minimum requirements of this position will qualify for performance based wage increases and/or periodic bonuses. This is a new incentive being offered by BATC for the 2022-2023 school year and exact metrics and details will be discussed with the Office Manager at the time of hire.
Qualifications
• Bachelor degree
• Experience with QuickBooks is preferred
• Proficient in Microsoft Office, especially Word and Excel
• 1+ years of experience in an education and/or an office environment required
• Ability to work both independently (without immediate supervision) and collaboratively with other staff members
• Commitment to working with us through at least the 2022-2023 school year (June 2023), but hopefully beyond!
